Staff present : Library Director Max Wirestone. Absent: Anne Phipps, and Joan Martin Call to Order: The meeting was called to order by Chair Richard McCormack at 6:35PM. Approval of Minutes: Fred Quimby moved and Nancy Rhoades seconded a motion to approve the minutes of 12/6/11 and 1/17/12. The motion was approved by a unanimous vote. Treasurers report: Fred reported that the operating account had a balance of $254.55 and the Trustees account had a balance of $4394.38. Fred has requested a transfer of funds from the Towns General account to the Library Operating account in the amount of $3500 on 1/31/12 which would cover expenses until after the Town Meeting. Report of the Library Director: Max presented two months of statistics on attendance and circulation which show a similar library usage to last year. Year to year comparisons on unique circulations show a slight fall in 2010 with a slight gain in 2011. A closer analysis of each category in the circulations demonstrates the gain this year being due to a dramatic increase in e-books. Max announced that Kathy Allyn would be holding a Story-time for adults weekly and encouraged all to attend. New Business: The Conservation Commission has recommended that the Town plant a new Christmas Tree since the present one is so difficult to decorate. They recommend the tree be planted on Town property and close to the center of town. The Library grounds have been recommended and the Trustee should vote of this recommendation. Fred moved and Nancy seconded a motion to offer the Town a planting site on the east side of the library which must be clear of the septic system and not intrude on the abutter. The motion was approved unanimously. Summer Reading Program Update. Max recommends that we break up the group of students into two age groups; K-4 and 5&6. To do this Max will need another room for the older kids ( perhaps the fire station conference room ) and some additional assistance at the circulation desk while the program is in session. The motion by Nancy and seconded by Fred called for approval of another part time clerk to work 2.5 hours a week for the 5 weeks of the program, at the current PT clerk rate. The motion was approved unanimously. Old Business: Custodial position: Laura Zuzgo started this weekend and everything is going well. Kitchen tile update: Crystal Rock refuses to repair the tile which has now settled down again. Alton Floor came in with a quote of $260 to repair the tile. Max recommends we wait until we have another CIP request for facility maintenance and then combine this with the other request. Everyone agreed. Policy Review: Max continues to work on this and will present it all to the Trustees at some point in the Spring. Pending Projects: Walkway Staining: This will be deferred until the Spring. Parade Float: Max recommends the library sponsor a parade float in the Towns 250 anniversary parade this July. Fred recommends the summer reading program students get involved. We will continue the discussion at the next meeting. Final Comments: Sara Burns was nominated by the library for the unsung hero award for outstanding parenting. She won this state award and will receive it in Concord and meet the Governor. Linda Snow, a big supporter of the library, passed away last weekend. Her funeral will be held at Peaverly Home in Farmington and calling hours begin this Friday at 4PM. Fred was asked by the Trustees to arrange a delivery of flowers ( in the amount of $75)be sent to the home. It should be sent on behalf of the New Durham Public Library.
